Repeat positive experiences at conferences and parties at Helderfontein led me to want to have my birthday party there again.
The views are stunning, tea on the patio overlooking the water, natural open spaces and horses.

To my dismay, I had a week of emails going back and forth, days of no reply and wrong quotes sent to me on four different occasions.There was more than one person emailing me from the same email address and signature so I was never sure who I was communicating with.They even lost the quote they had sent to me, asked me to mail it to them and then resent it having removed 10 people from the quote (still not sure why or how).The day before the function they emailed to say that I needed to move my party indoors as the pool had been drained.Just unprofessional.
I cancelled my function and booked a restaurant the day before it was to take place so to be safe rather than sorry.
After the continuous errors, lack of attention to detail (and the client) and poor communication, I became unsure that Helderfontein could handle even a small event of 24 people.Perhaps it's a staff issue but it is completely unprofessional.
It's really sad........

I recently attended a wedding at Helderfontein Estate. The venue was beautiful, the view was incredible, the waiters were friendly and the food was acceptable, but at R954/room (for two people) the rooms were atrocious. The mattress was lumpy, there was no proper air conditioning (only a fan), and there was no toilet roll holder (you actually had to twist around and pick up the toilet paper off of the back of the toilet). I have stayed in luxury B&B's before who offer wifi and DSTV (and amazingly enough had toilet roll holders) for less than R900/night for two people. I would expect to pay around R450 - R500 (per night/for two people) for the quality of rooms at Helderfontein. The venue also does not offer any EFT facilities.The bar was very expensive and expect to pay such high prices at the Hilton (which they would accept USD and EFT payments) . The cost of a wireless or GPS EFT device is not that expensive in this day and age and would add value to the venue. A few modifications to the venue and prices would make a world of difference. You simply cannot charge luxury prices for average facilities..

Attended a wedding reception there recently. A tad 'out there'! Has NO wheelchair accessibility whatsoever - far too many uneven/slanty surfaces. We struggled with having to push the wheelchair throughout the venue. The waiters were slow to bring drinks or clear the plates before one is done with eating! Their answer to every request is "I'll bring it over when I'm done clearing up!!" we're STILL waiting for our drinks ...a day later! Not worth the money at all.

You getting married, you very excited and all is good. This is supposed to be one of the memorable times of your lives. Not if you go to Helderfontein. Robyn showed us around and we were pleased. As an older couple, we are relaxed and easy going. Went through the basics with her and she promised us the world. Easy wedding, 120 guests, plated food, Guests will sleep over and we all have breakfast together in the morning. Sorted. We paid a deposit there and then to secure our date. In the conversation I was assured that I would not see another bride. As we booked in March for Sept, I was assured that 15 rooms would be booked for my wedding party up until the 1st sept giving time for the wedding invites to go out, I also booked an extra 6 rooms for my bridal party, and I was also told that as we were not taking the chapel and paying for an extra room to get married in, we were allowed the terrace outside our wedding room to cut our cake on. They could give us plated, but only one choice, she would speak to the chef about a choice of two and come back to me.
Problems started 3 weeks later, I got a mail from her asking for my exact times as they have another function on now, and it will be on the terrace outside our wedding chapel. So my guests will look straight onto their party while we getting married. Seeing as though we had paid extra for this chapel room I was not pleased.
We went to the food tasting. Paid full price for my parents to join, and surprise! the food served was only buffet food, so nothing off the plated menu. After complaining, we were told we could attend another food tasting but we would have to pay again! What a joke. They also then came back to us saying we can only have one main meal, no choice. We sent them some easy suggestions but they were not willing to budge. They eventually suggested we get our own caterers in. Great idea the menus were unbelievable and the prices better, even with paying their cover charge per head. Then they come with the they cannot use our kitchen. This was when I called and asked for a meeting with the manager / owner (Kelly Rodriques)
After 3 e-mails and 2 phone calls we got a meeting. Only to arrive at confirmed time and Kelly did not bother to pitch up. Turns out Robyn had been fired and now Clarissa would take over. We went through everything again, there will be no other function outside our wedding chapel, and we settled on having a duo plate. They could not do either chicken or fillet on separate plates, but they could do it on one plate? She would organize us a new tasting . All was good again.
A month before my wedding, some of my guests have now got their invites and they try book rooms. No one can get rooms it is fully booked. What? We were promised 15 rooms. I call, not only is the 15 they promised me taken, but the 6 for my wedding party is also gone. I have this in written confirmation from Robyn that they were book still for another 3 weeks. Clarissa admits she can see it on our form, but there is nothing she can do. Once again the manager / owner will not take calls or meetings. She has no interest in the customer at all. This puts me in a huge pickle as my one bridesmaid is 15 and needs to sleep onsite with me, I cannot leave her with strangers. I also have babies coming and had organized rooms for their parents. So they could relax and party with us.
I now have to book elsewhere and get my guests a shuttle back and forth at my own cost. When calling the guest houses in the area, two confirm that this is common practice for Helderfontein. DISGUSTING! helderfontein say I should have paid a deposit, but we were told that we only had to pay 30% on the day we made a booking and would pay the balance before the wedding. She would invoice us. We would have gladly paid had anyone told us to. Everything is blamed on the old co-ordinator who got fired. They refused to stand by anything she said as she no longer works there. Even though she was employed by them when she made us promises.
I also now have to find a new venue for breakfast for all my guests. Helderfontein just do not care. I was hating having my wedding there.
Wedding day, The other function which has all our rooms is a 3000 RMB conference. Cars everywhere, and a huge marquee next to my reception hall. No one cut the cake as arranged. (this was cheese to have with wine while we were having photos) One of my guests landed up cutting it for all the guests. Main meal served with sauces in bowls. Some tables got sauces, others did not. No spoons came with the sauces. It’s the little detail. Pay extra because you have plated so have to have more waiters, well they were hardly around. The flowers were not moved from the outside tables into the bathrooms as arranged. My guestbook got locked up in Clarissa’s office, so no one signed it. We paid for all drinks except hard tack and shooters. At 1am, Clarissa brings us the bill to sign. Its very long. We do not go through line for line. See later they charged us for Whiskey and shooters. They will not refund us as we signed the bill. Honestly when you stipulate something, you expect them to adhere to it. You do not expect to have to go through it line for line after the party. We had to pay R360 for food for the babysitter. Only found out at 1pm no one took her any food. We were promised the other function was leaving at 5pm, well they did not Helderfontein gave them a big screen so they could watch the rugby! Had cheering and shouting up until our main meal was served.
Cherry on cake, after the party we retire to a crappy room. My husbands bags were not there. He then had to run around for 30 min while they found where his bags were moved to.
We were forced to pay for a security guard, yet we had a stranger wonder in, go to the bar, to the bathroom and he left with a bottle of champagne. Some of our gifts disappeared into thin ice, Helderfontein does not say a word. Clarissa our latest co-ordinator no longer works there, another one bites the dust. Still no word from owner / manager.
Get back from honeymoon, they have not paid us our breakage deposit back. They have also put through strange transactions. Apparently its credit card charges. Because we paid for the wedding on credit card, they find it necessary to charge us their bank fees. This was never in their terms or agreed on!
Learn from our mistake and stay far away. Not worth the stress.

P.S have since heard from a guest who did book there, that they were packing down the other function until 4am in the morning. huge noise!

The service we received during the build up to and after our wedding at Helderfontein Estate, Kyalami can only be described as DISGUSTING. During the arrangements and over the period of a few months we had no less than 3 wedding co-ordinators assigned to us, each one making promises which were never honoured. The staff turnover at Helderfontein is clearly an indication that all is not well. We requested plated food but were told that we could not have a choice i.e. there could only be one option. At the food tasting, we took my wife-to-be’s parents and paid for them (our cost was included in the package) however the food on offer was a buffet and not even the food that we would have at our wedding. When I subsequently complained I was told that I could have another food tasting but that I would have to pay for this. After much discussion, Helderfontein finally acceded to a complimentary food tasting. We planned on having breakfast at Helderfontein the following morning and a number of our guests planned to stay over and join us in the morning. Many of our guests who were not staying over were planning to come back for breakfast. We confirmed with our co-ordinator the number of rooms that we required but at a later stage we were told that no rooms were available as we had not paid a deposit (which we were never ever asked to do) and accordingly the rooms had been given to a Corporate company who was having a function on the same day. We accordingly had to book our parents and other friends into accommodation 3kms away and arrange a shuttle service to Helderfontein (at our cost). We also had to arrange another venue for breakfast. Thankfully we found Terrace Café in Bryanston and had the most awesome breakfast with friends and family. In the early hours of the morning after our reception as we were leaving for our room our co-ordinator asked me to sign the bar bill. It was a lengthy ‘till slip’ and the amount was in line with our expectations. I did not check the bill at that stage but signed it anyway. I subsequently noticed that a few ‘hard tack’ items had been included in the bill. We specifically told Helderfontein that we would pay for wine, beers and cold drinks but NO ‘hard tack’. When I queried this I was told that I had signed the bill as being correct and therefore the items could not be removed. The amount involved was a mere R182 but it was a principle thing for me and just goes to show the attitude of the management at Helderfontein and their stance on customer service. Close friends of ours had a baby and arranged for a babysitter to be at Helderfontein during the evening of our wedding. We paid Helderfontein R360 for a meal for the babysitter which was never delivered to the room (we only found out the following day). I noticed on the final bill that I had been charged two amounts totalling R1 055.60. When I queried these charges which had been offset against my breakages deposit, I was told that it was credit card charges for paying the deposit for the wedding and the bar bill estimate. I advised Helderfontein that this was never advised or agreed to by me and was not in the terms or conditions signed by me. After many days of e-mail communications and after eventually advising Helderfontein that I would take them to the small claims court, I was re-imbursed the cost of the babysitter’s meal and the credit card charges but NOT the hard tack. I am not one to complain in a public forum and I have much better things to do with my time but I would not wish any couple to go through the experience which we had with Helderfontein. It is a special time but also very stressful and you do not need the added stress of a venue like Helderfontein where customer service is non-existent. Hopefully our bad experience will enable others to steer clear of Helderfontein. Tell your friends, colleagues and family.

I have attended 2 Conventions at this location. Each time the food was outstanding! I find buffet foods boring but this location really takes it to a new level.the venue is very pretty with the creepers adding lovely autumn colours.

Set amidst spacious gardens and based upon an historic building Helderfontein Estate is a perfect venue for a Wedding. Well maintained gardens are complimented by the shade from mature trees and the historic building gives a feeling of a link to the past.

I have to admit that I do not generally look forward to "Wedding Food" as Weddings so often do not run to schedule and buffets kept hot often are very poor. Major compliments to the Chef here as he produced a plated menu with "Normal" and Vegetarian options designed to be able to stand any delays. I have to say that this was the best Wedding food I have had, and I have been to many Weddings.

The Events Manager, Chantel Swart, was attentive and fully in control of the day and reacted to requests swiftly and efficiently to make a memorable day run smoothly. In fact she went the "Extra Mile" and did some things for us that were not really her job to do!

The Bar is well stocked and prices are fair and you do not feel ripped-off like so many Function Venues.

Bedrooms are "Mid Range" but perfectly suitable for function accommodation.

The only point of criticism is the difficulty of close access to the function room with a vehicle with trailer for unloading all the requirements for a Wedding.

I would happily recommend this venue.

We looked for a big venue at short notice for the last day of a church conference and were pleasantly surprised by how accommodating the management was in providing in all our needs.We found a spacious venue in their Africa Hall for over 2000 people for the main service and outside space for the children's classes. The venue was easy to find along a scenic route with horses and ostriches to see; it is well-sign posted and there was plenty of parking. The only caution, if there are children, is that there is a pool and open space of water which are unfenced, and it is not wheelchair-friendly.

What an amazingly beautiful venue.
The sheer size, layout and design is amazing.
The gardens are beautiful, tranquil and imaginative and plays host to a huge bird population.
Our lunch was served on the patio at the pool and I Gould have stayed there all day.
An excellent array of tasty 'finger food' was ideal for the occasion and made all the more special to be able to enjoy in such peaceful and tranquil surroundings
